Microsoft 365 Copilot: govern access before expanding use

Start with the quality of permissions and content already present in your Microsoft 365 environment.

Understand the access boundary

Microsoft states that Copilot respects a user’s existing permissions. That does not mean those permissions are correctly configured: an overshared document may become easier to discover. The data, privacy and security documentation explains how the service works.

Address oversharing

We recommend reviewing sensitive sites, sharing links and overly broad groups first. Assign owners to sites and documents that lack them. A limited rollout can then reveal useful patterns and problems before expansion.

Microsoft documents governance controls in Copilot Control System, including SharePoint and Microsoft Purview capabilities. Availability depends on licensing, prerequisites and configuration. Check your environment before assuming they are already in place.

Teach verification

We advise asking users to check sources and recipients before distributing a response. A summary can omit a nuance or combine information out of context. Define permitted uses, reporting procedures and content requiring specialist review.

Evaluate adoption through specific tasks, including verification time. Purchasing licences is not itself a measure of value.
